Part 1: Creating Class Lists

What is Eccles?

Eccles is an enrolment list manager for lecturers, class and school administrators, based on Microsoft® Excel. The system requires Office 97 or later; or Macintosh Editions Office 98 or later.

The Eccles support website is

The site includes instructions for downloading the control workbooks, and an FAQ list.



Obtaining enrolment data from NSS

 Manage Student Records – Establish Courses – Process – Enrolment Lists – Add (or Update/Display)

Starting Eccles

Double click on Eccles2_3.xls or MacEccles2_3.xls (or latest version number)



Customising the markbooks

Start

lick Steps are optional:



  • On Params sheet, change field selection (head/col), col numbers, ORIENT, XCOLS

  • On Template, select rows or all; change typeface, font size, header colour

  • Same for Template-NGC (non-graded classes)

Click Restore Control Panel

Opening the enrolment list download

Select Open and Split Download tab

Locate enrolment list file, click Open. School workbook is created, containing Summary, Enrolments and optionally Non-graded sheets.



School workbook (example): PSYC-20010922.xls

Creating markbooks

On Summary sheet, specify split options (col C):



by course, by class, no split, Mac by course, Mac by class [to create Mac markbooks on PC]

Switch back to Eccles using Excel’s Window menu

Select Restore Control Panel (or press Ctrl-r)

Part 2: Compiling Results

Managing result files

Create a new folder each semester. Move school workbook there, and result files when received.

Reopening the school workbook

Start Eccles, select Merge and Submit tab

Locate school workbook, click Open.



Security keys

Enter as received onto summary sheet (col G)

Case insensitive, uses digits + {KRYSUX}

Clear cell only if key lost, disables security



Loading result files

Must be in same folder as school workbook

To force reload, clear Day and Time In cell(s).

Submitting school results

Check loaded results for sanity

Set Results Status (col H) to Accepted

Using Eccles V2 Markbooks

Guide for Lecturers and

Class Administrators

Limitations

Markbooks are fully functioning workbooks, but protected. Formatting operations on cells, rows and columns are disabled. Cells holding enrolment data are locked, others are OK.

Markbooks are system-dependent. Macintosh markbooks do not currently have all functions due to limitations in Microsoft’s Office system.

Getting started

Start Excel 97, 98 (Mac) or 2000. Open file. Enable macros to use any of these functions.

Maximise the workbook to see sheet tabs:

Main sheet named by course or course-class

Select Restore Control Panel (or press Ctrl-r)

Control panel has three tabs:



Each has its own set of functions (next columns).



Adjusting column widths

Highlight one or more adjacent columns.

Press Ctrl-e (PC) or menu path Tools – Macro – Macros; select ExpandColumns; click Run.

Functions using Update records tab

Updating from an earlier markbook

If you have been using an earlier version of an Eccles markbook for the same course/class,

Select Update records tab

Locate the previous version. Click Open.

Any columns created in old markbook copied to new.

New students added, old records shown like this.

Importing from any other spreadsheet

Source must have header row, and student IDs at left

Open both workbooks, highlight range on source (header row above Student ID to last col/row)

Copy to clipboard (Ctrl-c)

Make markbook active (Excel’s Window menu)

Restore control panel and Select Update records tab

Uncheck any unwanted columns. Click OK.



To import from several part-course sources, uncheck Show omissions box on second and later imports.

In upper frame, select fields to display for each record (normally Student ID and Name)

In lower frame, select fields to change. Click OK.

On entry form, type value for each field, Enter key moves to next field, then next record.

Data copied to sheet by Prev, Next and Close.



Sorting records

Click OK. Option to add unofficial records OK until end of semester only.



Creating a grade distribution chart

Uses final mark (and grade) values

 Phone 6-symbol security key (e.g., 7XY61K) to school results controller.  Transfer result file (e.g. PSYC9031.20011204.1259.res) to school results controller by email, diskette or LAN.

 Save markbook off-line.
