Inserting Video in a PowerPoint Presentation


You can add a video directly into your PowerPoint presentation (PPT) or you can link to a video. If you link to a video, you will keep the size of the PPT small. If you plan on email or posting the PPT online, you will want to use this method but you will want to make sure you link to a publicly available video (e.g., one on YouTube) as opposed to one behind the TAHQ login or on your computer. IMPORTANT Despite the terminology of “embedding” video in a PowerPoint, the video is not embedded as the file always remains outside of the presentation. Instead, you are linking to the video whether it is on YouTube or on your local machine.

During a presentation, it is acceptable to link to the file on the machine containing the PPT but it is best to keep it in the same folder as the presentation.

Instructions vary depending on your version of PowerPoint.

Here are the quick steps:



  • Save the WMV and remember the location where you’ve saved it on your local computer

  • Go to the slide in PowerPoint 2003 where you want to insert the video

  • Click the Insert menu, click Movies and Sounds, click Movie from File

  • Select the WMV you have saved on your local computer and click

  • In the “How do you want the movie to start in the slide show” dialog window, click Automatically

  • You can resize the movie but do not play it full screen as most of our movies have a 16:9 aspect ratio which is wider than the 4:3 aspect ratio of the PowerPoint window

NOTE Linking to a YouTube video was not an option in PowerPoint 2003.

Linking to YouTube videos in PowerPoint 2007


PowerPoint 2007 does not support the MP4 format but will support the WMV format. There is an excellent tutorial for embedding YouTube videos found at http://www.brighthub.com/computing/windows-platform/articles/9698.aspx.

PowerPoint 2010


In PPT, go to the Insert menu, find Media Group and click Video

To place a video:



  1. In Normal view, click the slide in which you want to embed a video.

  2. On the Insert tab, in the Media group, click the arrow under Video, and then click Video from file.

  3. In the Insert Video dialog box, locate and click the video that you want to embed, and then click Insert.

To link to a video:

  1. On the Slides tab in Normal view, click the slide to which you want to add a video.

  2. In your browser, go to the web site that contains the video that you want to link to, such as YouTube.

  3. On the web site, locate the video, and then locate and copy the Embed code (you may need to click the Embed button). If you are using YouTube, uncheck Include related videos and check the Use old embed code option before you copy the code. NOTE When you use this code, you are linking to the video (not actually embedding it).

  1. Back in PowerPoint, on the Insert tab, in the Media group, click the arrow under Video.

  2. Click Video From Web Site.

  3. In the Video From Web Site dialog box, paste the embed code, and then click Insert.

To add a link to a video from your PowerPoint presentation:



  1. On the Slides tab in Normal view, click the slide to which you want to add a video or animated GIF file.

  2. On the Insert tab, in the Media group, click the arrow under Video.

  3. Click Video from File, locate and click the file that you want to link to.

  4. On the Insert button, click the down arrow, and then click Link to file.

To prevent possible problems with broken links, it is a good idea to copy the videos into the same folder as your presentation, and link to them there.
